Work Logs
Work logs are daily records of time spent by an employee on a work item: either a task or a meeting. They are the foundation of invoicing — invoices are computed from the work logs assigned to them.
Logging Work
To log work, go to the Work Logs page (the home page after signing in) and click New work log.
Fill in:
- Employee — who did the work
- Task or Calendar Event — what they worked on
- Date — the date the work was done
- Hours (optional) — how many hours were spent
- Notes (optional) — any free-text notes about the work
Each work log must be assigned to exactly one task or meeting. Each employee can have at most one work log per task per day, and at most one work log per meeting. Trying to create a duplicate will show a validation error.
For meeting work logs, the employee must be one of the meeting participants. Meeting logs use the meeting's client, can use the meeting start date when no date is set, and use the meeting duration when hours are left blank.
Members can create work logs only for their linked employee. Admins can choose the employee.
Blank Hours
Blank hours are supported for day-based logging. For hourly invoices, blank-hour logs are capped at 8 billable hours per employee per day and split across that employee's blank-hour logs for the day. Each billed quantity is then multiplied by the employee's billing ratio effective on the work log date.
Filtering Work Logs
The work logs index shows logs filtered by:
- Employee — defaults to all employees
- Client — defaults to all clients
- Start date — defaults to the start of the current week
- End date — defaults to today
Use the filter bar at the top of the page to change the date range or switch employees.
The index also shows a revenue preview by client for the filtered logs. It estimates revenue using each client's latest invoice rate and rate type. It is a preview only; invoice totals are finalized on the invoice itself.
Editing and Deleting
Admins can edit or delete any work log. Members can only edit or delete their own logs.
Click the work log row to open it, then use the edit or delete actions.
Invoice Assignment
Work logs can be assigned to an invoice in bulk when billing a client. Once assigned, a work log's date falls within the invoice's billing period and it contributes to the invoice's computed amount. The work log's client comes from its task or meeting. See Invoices for details.
A work log that is already assigned to an invoice is shown with the invoice reference. It cannot be reassigned to a different invoice until it is removed from the current one.
