Invoices
Invoices are generated from work logs. Admins select a billing rate type, pull in the relevant task and meeting work logs for a date range, and Nufinox computes the total amount automatically.
Invoice Rate Types
When creating an invoice, choose one of three rate types:
Hourly
Charges by the hour. The invoice amount is:
rate × Σ (hours logged × employee billing ratio)
If an employee has blank-hour work logs on a day, those blank logs share an 8-hour cap for that employee and date. Each work log's billed quantity is multiplied by the employee's billing ratio effective on the work log date before summing.
Daily
Charges by the day. The invoice amount is:
rate × number of distinct dates across all assigned work logs
Each unique date across all work logs counts as one billable day, regardless of how many employees worked that day.
Monthly
Charges by the month. The invoice amount is:
rate × prorated months in the invoice period
The invoice period is prorated by calendar month and rounded to one decimal place. Non-empty periods that round below 0.1 are billed as 0.1 months.
Creating an Invoice
- Go to Invoices and click New invoice
- Fill in:
- Client — who is being billed
- Currency — defaults to EUR
- Rate — the per-unit rate (per hour, per day, or per month)
- Rate type — hourly, daily, or monthly
- Issue date — the invoice date
- Period start and Period end — the period the invoice covers
- Save the invoice. The amount starts at zero until work logs are assigned.
The invoice number is optional in Nufinox. When an invoice is synced from Minimax, Nufinox stores the accounting invoice number returned by Minimax.
Assigning Work Logs
After creating an invoice, assign work logs to it:
- Open the invoice and click Bulk add work logs
- Confirm or adjust the start date and end date. They default to the invoice period.
- Nufinox assigns all unassigned task and meeting work logs for this invoice's client within that date range
- The invoice amount is recomputed automatically
Work logs already assigned to another invoice are not affected. Only unassigned work logs within the date range and for the selected client are pulled in.
Invoice Amount
The amount is computed and updated automatically whenever work logs are added or removed. You do not enter it manually. The quantity (hours, days, or months) and amount are shown on the invoice detail page.
Issued invoices cannot be edited or deleted in Nufinox.
CSV Export
From the invoice detail page, click Export log CSV to download a CSV file of all work logs assigned to the invoice. The export includes date, employee, work item name, work item link, implementation link, notes, and the billed quantity for the invoice's rate type, plus a total row.
Accounting Integration (Minimax)
If you have connected a Minimax accounting account (see Integrations) and the client has an accounting customer ID configured, you can push the invoice to Minimax directly from Nufinox.
Creating a Draft
Click Create draft on the invoice detail page. This creates a draft invoice in Minimax and stores the Minimax invoice ID in Nufinox. The invoice is marked as draft.
Syncing Changes
If you update the invoice by adding or removing work logs or changing invoice details, click Sync to push the updated amount and period to the existing Minimax draft. Syncing is only available while the invoice is still in draft status in Minimax.
Issued Invoices
Once an invoice is marked as issued in Minimax, it can no longer be synced. The status in Nufinox updates to issued automatically when you attempt to sync.
