Expenses

Expenses track business costs. Nufinox supports recurring expense templates and actual expense records with attached invoice PDFs.

Recurring Expenses

Recurring expenses are templates for predictable costs such as subscriptions or services. Go to Expenses and click New Recurring.

Fill in:

  • Name - the expense name
  • Currency - the currency used for the amount
  • Amount - the expected recurring amount
  • Renews On - the day of the month the cost renews

Recurring expenses appear in the Recurring section with monthly totals. They do not count as actual costs on the Dashboard until you create an actual expense from them.

Actual Expenses

Actual expenses are recorded costs. Go to Expenses and click New Expense.

Fill in:

  • Name - the expense name
  • Currency - the currency used for the amount
  • Amount - the expense amount
  • Date - the date of the expense
  • Invoice - a required PDF attachment

When creating an expense from a recurring expense, Nufinox pre-fills the name, currency, amount, renewal date, and recurring expense link.

Expense Archive

Actual expenses are grouped by month. For each month, click Download invoices to download a ZIP archive containing that month's attached invoice PDFs.

Permissions

Admins can create, edit, and delete expenses and recurring expenses. Members can view expenses and download invoice archives, but they cannot change expense records.

Dashboard Impact

Actual expenses are included in the Dashboard by expense date. Amounts in non-RSD currencies are converted to RSD for profit reporting.
